Administration Department

Job Description 

  • Ensure all the stationaries are stocked up accordingly
  • Monitor office and pantry supply levels; reorder when appropriate
  • Carry out administrative duties such as typing, copying, scanning and filing when necessary
  • Prepare meeting minutes
  • To make sure the office environment is always clean and tidy
  • To arrange hotel, dining arrangements, and company activities as needed
  • To monitor and ensure all bill is paid within the deadline
  • Manage the office’s utility bill and liaise with building management for any issues regarding office maintenances
  • Manage the office front’s desk, attending calls and guests
  • Scope of work will be revised depending on the management needs or request. Others related duties as and when assigned by the superior from time to time

Requirement

Minimum Diploma in Business Studies/Management/administration or any other equivalent qualification

Job Description

  • Assist to ensure the efficient and smooth day-to-day operation in the office
  • Ensure incoming calls are attended promptly
  • Attend to walk-in customer and guest in a professional manner
  • Handle general administration support such as mail, courier arrangement and meeting room
    bookings
  • Handle meeting and event reception
  • Monitor and maintain office equipment and inventory supplies, orders replacement supplies as
    needed
  • Operate and maintain office machinery, including copiers, printers, etc
  • Any other tasks as assigned from time to time

Requirement

  • Fluent in Mandarin preferred as role requires to deal with
  • Mandarin speaking guests
  • Maintain professional appearance
  • Significant work experience handling guest service responsibilities, preferably in a reception setting
  • Excellent communication skills and have great interpersonal skills
  • Self-directed and able to work without supervision
  • Highly organized, able to multitask and prioritize and work under pressure
  • Able to work 5.5 days (alternate Saturday) per week

Job Responsibilities 

  • Installing and configuring computer hardware, software, systems, networks, printers and scanners
  • Monitoring and maintaining computer systems and networks
  • Setting up email accounts and create thumbprint user for new users
  • write and edit reports, publications and website content
  • design for the web
  • Manage network storage and create user
  • Shooting picture and record video to collect for company activities, meeting, outdoor scene and etc
  • IT Troubleshooting

Requirements 

  • Minimum Diploma in IT Networking
  • At least 1-year working experience in related/similar field
